Who we are

Arloway Orthodontics, 14 Weldon Row, Nottingham NG1 4QT, is the data controller for the information described here. Contact the practice manager at reception@arloway.example.

What we hold

Why, and on what basis

Clinical records are processed to provide dental care. The lawful bases are the provision of health care and, for the special-category data involved, the management of health-care systems and services. We do not need consent to keep a clinical record and cannot delete one on request.

How long

Adult clinical records are kept for eleven years after the last appointment. Records for a patient treated as a child are kept until their twenty-fifth birthday, or eleven years after the last appointment, whichever is later. Website enquiries that do not become appointments are deleted after twelve months.

Photographs

Clinical photographs are part of the record. They are never used for marketing, teaching or social media without separate written consent, and that consent can be withdrawn at any time without affecting your treatment.

Your rights

You can ask for a copy of your record, ask us to correct it, and object to processing that is not necessary for your care. Write to the practice manager; we respond inside one month and there is no charge for a first copy. If you are unhappy with the outcome you can complain to the Information Commissioner's Office.
